If you intend to buy appliances, decorative lights or fittings yourself during a turnkey fit-out, put those items into the project plan before surrounding work is approved. Confirm the exact model and agree who receives it, installs it and checks that it works. An order confirmation by itself leaves most of those decisions open.
When choosing a turnkey fit-out company in Dubai, discuss owner-supplied items at the first scope review. The contractor needs the product information even when the purchase sits outside its supply package.
Start a register before placing orders
Give every item a room and a reference. Include its exact model, finish, supplier contact and the latest installation instructions. Save the confirmed information in one place that the designer and relevant trades can access.
A photograph helps identify the appearance. The installation information answers different questions: what opening is needed, how the item connects and how it can be serviced. Ask the responsible specialist to confirm those details against the proposed design.
If you have only shortlisted a product, mark it as provisional. Agree when the final selection must be made and what work depends on it. That allows the project lead to distinguish a pending preference from information the workshop or site team can use.
Follow one appliance through the project
Consider an owner-supplied integrated appliance as a planning example. The cabinet designer needs the specified installation dimensions before releasing the surrounding joinery. The services team needs the manufacturer's connection requirements. Someone must also check that the item delivered is the model used for those decisions.
Ask who will make each confirmation. If the supplier proposes a replacement model, send its information back through the same review before accepting the substitution. A similar-looking appliance may have different installation requirements.
This example applies equally to other fitted products. For a basin, the joiner and stone specialist need the selected model before detailing the vanity. For a pendant, the relevant team needs the mounting and electrical information before the ceiling work is closed. The installer should follow the chosen manufacturer's instructions.
Separate delivery from acceptance
Agree where the item will arrive and who is authorised to receive it. Check the building's delivery arrangements with management, including access and any booking process. Keep the supplier informed of the confirmed route and delivery contact.
Then agree how the delivery will be inspected. Someone should check the model reference, visible condition and included components against the order, and report discrepancies to the owner or supplier. Define where packaging and documents will be kept until those checks are complete.
Receiving a box does not demonstrate that the product has been installed or commissioned. Record those as later steps with their own responsible parties.
Put responsibility beside each task
Use a short table during the scope meeting. Replace the proposed roles below with the names agreed for your project.
| Task | Person or company to confirm | Information to keep |
|---|---|---|
| Product selection | Owner and designer | Final model and finish |
| Technical coordination | Relevant specialist and project lead | Installation instructions and drawing revision |
| Delivery and receipt | Supplier and nominated receiver | Access arrangements and condition record |
| Installation | Agreed installer | Scope, required components and installation record |
| Testing and demonstration | Installer or supplier, as agreed | Results, operating instructions and unresolved issues |
| Warranty enquiry | Named supplier or contractor contact | Purchase record and applicable terms |
Do not assume that a turnkey appointment automatically includes installing every separately purchased item. Ask for the agreement to identify what is included and who handles any specialist attendance. Read the supplier's warranty conditions when deciding the installation arrangement.
Give changes a route back to the team
When a model or delivery date changes, tell the project lead before the affected work continues. Ask which drawings, openings or installation activities need review. Keep a dated record of the decision so the workshop and site are working from the same information.
Halo's project management service is the relevant place to discuss these coordination responsibilities. If you are still comparing overall packages, the commercial fit-out scope guide provides a broader way to identify gaps between trades.
Bring your product shortlist to the consultation, including items already ordered. Flag anything with an unconfirmed model or delivery arrangement so the team can identify the decisions needed before work proceeds.
