Request a connected evidence pack from a Dubai fit-out contractor: comparable work, project records, delivery roles and a clear approval route.

What evidence to request before appointing a Dubai fit-out contractor

Before appointing a Dubai fit-out contractor, request an evidence pack you can trace to actual work. Ask for a comparable completed project, a permitted reference contact and redacted records showing how the team managed delivery. The contractor should explain what they carried out themselves and what belonged to another party.

For a turnkey fit-out appointment, this helps you assess whether the proposed team can coordinate the work you need. Keep confidential client information out of the review. A contractor can explain their methods using redacted examples or blank working templates where sharing a completed record is inappropriate.

Ask for one connected project example

Choose a reference relevant to your scope. An occupied office refurbishment raises different delivery questions from an empty villa renovation. Ask the bidder why the selected example is comparable and which parts of it their company delivered.

Then follow that example through a few records. Can the contractor relate the finished photographs to an approved drawing, a recorded change and the eventual handover? You are looking for an understandable account of how a decision reached the site and how the team checked the result.

Request permission before contacting an owner or visiting a property. If access is unavailable, ask what other evidence can be shared. Client confidentiality is a reasonable limit; the discussion should still leave you able to distinguish the contractor's own work from a reference image or a designer's visual.

Evidence to requestFollow-up question
Current company and project-role informationWhich entity will undertake the appointment, and who is responsible for each delivery package?
A comparable completed projectWhat did your team design, coordinate, manufacture or install on this job?
A redacted drawing or change registerHow did you withdraw superseded instructions and confirm that the site had the revision?
A sample inspection or snag recordWho checked the work, what remained open and how was closure recorded?
A programme with dependenciesWhich decisions, submissions and deliveries must happen before the next activity starts?
A proposed handover indexWhich records will this particular project receive, and who compiles them?

Keep a note beside each answer: received, needs clarification or still outstanding. A document title alone is not enough to close an item. Ask the contractor to explain how the record is used by the people delivering the work.

Confirm the approval route for your property

Have the contractor identify the authority and building-management requirements relevant to your proposed scope. Ask who prepares submissions, responds to comments and keeps the current approval records. A permit from a previous project demonstrates an example of that process; it does not authorise work at your property.

For example, the Dubai Development Authority fit-out permit service provides a route for obtaining permission to start fit-out work within its remit and subsequently submitting for completion. That is one authority route. Your team must confirm what applies to your building and proposed alterations.

Ask for a project-specific list of submissions and outstanding information. Keep that list separate from general company credentials so you can see what remains to be resolved for your appointment.

Review the people who will use the records

Meet the proposed delivery lead and ask them to walk through an example of a site issue. Who receives it, who decides the response and where is the instruction recorded? Clarify which specialists and suppliers they will coordinate. Record any roles that are still to be assigned.

Use Halo's contractor selection guide for the broader appointment review. If you have competing proposals, the separate tender exclusions guide helps resolve differences in scope.

Send the outstanding evidence questions with your brief when discussing a fit-out project with Halo. Ask for written responses against your property and scope, and retain the agreed delivery responsibilities with the final appointment documents.
